9jacodekids Academy is Nigeria’s leading STEM education institute, providing coding and Artificial Intelligence programmes for kids aged 6 to 16 years old. Their classes include weekend coding courses, holiday coding camps and STEM workshops.

9jacodekids Academy had grown to the point where managing tutors, students, bookings, and payouts manually was no longer viable. Scheduling appointments across multiple tutors and students, tracking each tutor’s availability and course assignments, sending automated calendar reminders, and processing tutor payouts were all handled through a combination of spreadsheets and manual communication. As enrolment grew, the cracks widened. They needed a single platform that consolidated every operational layer of the academy into one controlled system.

Scheduling appointments across multiple tutors and students, tracking each tutor’s availability and course assignments, sending automated calendar reminders, and processing tutor payouts were all handled through a combination of spreadsheets and manual communication. As enrolment grew, the cracks widened. They needed a single platform that consolidated every operational layer of the academy into one controlled system.
We built around the academy’s existing scheduling logic: tutors with variable availability, students enrolled across different courses, and appointment slots that needed to sync automatically with everyone’s Google Calendar. The system was designed to feel simple for tutors and parents while giving administrators a complete operational view: active tutors per period, past and future student records, real-time appointment status, and automated payout calculations.
We built the ERP platform to combine automated 2-way appointment scheduling with Google Calendar reminders, Google Meet auto-generated links, multi-user membership with three different user types and different dashboards, roles, permissions and access levels.
There is a frontend Admin that manages the activities of the students and tutors, and there’s a super-admin that manages the backend functionalities of the platform.
We set up lots of multi-layered filters, counters, in-app notifications, dynamic forms, dynamic tables, dynamic frontend calendar, elements with dynamic visibility, all powered by several SQL queries pulling data from the database.
We ensured full access control, user permissions and privileges, and unique workflows for each user role in ways that align with our client’s unique business model and modes of operation.
We also ensured that when there’s a need for the platform to be scaled into a mobile app, all the needed API endpoints are readily available.
The ERP reduced administrative processing time by 60 per cent, allowing the academy to scale student enrolment without adding operational headcount.
